Registration
What forms of payment are accepted?
The Seminar registration system accepts credit and debit card payments (Visa, Mastercard, American Express, Discover) and Purchase Orders (PO). The PO number and a PDF of the PO must be uploaded at the time of registration. A 3% surcharge applies to payments made with a credit or debit card.
What is your cancellation policy for Seminar registrations?
All cancellation requests for Seminar registrations must be submitted to seminar@nspra.org for approval. Cancellation fees help offset administrative costs for the Seminar and are as follows:
Do I need to wait to register for the Seminar if I applied to present a session or applied for a Seminar scholarship?
No, you do not need to wait. If you’ve applied to be a speaker or for a scholarship, there’s no need to wait to register for the Seminar as required in previous years. Register as soon as registration opens to take advantage of Early Bird rates or whenever you are ready. Please note that if selected for a scholarship, recipients will be refunded for registration fees as applicable to their award.
Are attendee substitutions permitted?
All substitution requests must be submitted to seminar@nspra.org for approval. Substitutions will only be considered if the substitute is from the same organization:
What food and beverages are served during the Seminar?
What does Guest Registration include, and why is there a fee?
Full-Seminar Guest Registration ($150) is available for family members or other guests who are not participating in professional sessions but who want to attend select communal and celebratory events with a registered attendee. It includes access to:
Sunday’s Annual Meeting and Celebration of Achievement
Sunday’s Opening Reception
The Seminar Marketplace
Continental breakfasts on Monday and Tuesday
Sunday-Only Guest Registration ($110) includes access to Sunday’s Annual Meeting and Celebration of Achievement and Opening Reception events.
The fee reflects a portion of the actual per-person costs for food, venue and audio-visual services associated with these events. Guest fees are part of NSPRA’s ongoing commitment to delivering high-quality conferences in a financially sustainable and equitable way.
Are any complimentary passes available?
Yes, complimentary passes are provided in the following specific instances:
Can I have a guest drop into Monday's General Session during the School Communicator of the Year award presentation, then leave before the keynote speaker?
We understand that friends and family may want to be present to see someone they know recognized during the School Communicator of the Year (SCOY) chapter winner presentation. While SCOY finalists are welcome to bring a guest as part of their recognition (see above), we’re unfortunately not able to accommodate additional guests or guests of non-finalists in the General Session. To ensure a smooth experience for everyone and meet required security protocols, only registered Seminar participants with badges may attend. Thank you for your understanding!
Hotel and Travel
Why does booking my hotel require a one-night, non-refundable deposit?
NSPRA National Seminar attendance has grown significantly in recent years, but the demand for rooms in the main Seminar hotel can surpass actual conference registrations. To increase registered attendees' ability to reserve a room within NSPRA's main hotel block, a one-night, non-refundable deposit will be applied to the credit card used at the time of booking. This requirement is meant to help as many registered attendees as possible stay at the main Seminar hotel.
What happens to my one-night, non-refundable deposit if I need to cancel my room later?
The one-night room deposit is non-refundable and will not be returned if the room booking is cancelled. If you must cancel your booked room, though, please contact the hotel directly using information provided in the hotel's confirmation email to you. As detailed on the hotel's booking website, the cancellation policy is that, "A one (1) night non-refundable deposit is required to guarantee your reservation. Should you not be travelling with the credit card associated with your booking, please contact the Hilton Accounting & Finance Help Desk to establish an authorization no later than one (1) week prior to arrival. Phone: 1-855-274-1414 Email: usotchelpdesk@hilton.com Hours of Operation: 8:00am - 6:00pm CST"
What if I need to make changes to my hotel reservation?
Once you receive your hotel confirmation, you are free to connect with the hotel directly to make adjustments to your stay. Be sure to reference the hotel confirmation number when making adjustments.
Am I able to book my hotel via the Seminar room block before registering for the Seminar?
Yes. You may reserve your hotel room either before or after registering for the Seminar.
Will my credit card be charged at the time of booking?
Yes but only for the one-night, non-refundable deposit. The remaining balance will be charged upon your hotel stay. Please ensure you review the hotel's cancellation policy carefully.
At the Seminar
Can I attend sessions on demand after the Seminar?
Yes. Many of sessions will be pre-recorded by the presenter(s) and made available to registered Seminar attendees for a limited time for on-demand viewing after the conference on NSPRA Plus.
Will Wi-Fi be available?
Yes. Complimentary Wi-Fi will be available in the conference meeting spaces and common areas of the host hotel. Instructions for connecting will be provided onsite.
How do I access the Seminar schedule and session information?
The full Seminar schedule, session descriptions and speaker information is available on the NSPRA website. A digital program and mobile app will also be available to help attendees browse sessions, build a personalized agenda and stay up to date throughout the Seminar. Registered attendees will receive access information prior to the conference.
What should I bring to the Seminar?
We recommend bringing a mobile device or laptop for accessing the digital program and taking notes, business cards if you use them, and a sweater or light jacket, as meeting rooms can sometimes be cool.
Where can I pick up my badge?
Badge pickup will be available onsite at the Seminar Registration Desk. Hours of operation and location details can be accessed on the Seminar schedule webpage.
What is the dress code for the Seminar?
Most attendees wear business casual attire during the Seminar, but there is no formal dress code for the conference or any of the special events. You'll see everything from dresses, blouses and collared shirts to polos, khakis, jeans and comfortable shoes.
For the Opening Reception on Sunday, we encourage you to wear whatever feels comfortable while enjoying an evening of networking and celebration inspired by the spirit and energy of New Orleans.
For the NSPRA Awards Celebration and Dinner on Tuesday (ticket required), some attendees choose to dress up a bit more, opting for dresses, jackets or dressier business attire. However, formal or cocktail attire is not expected or required.
Above all, wear what feels comfortable to you and allows you to fully enjoy your Seminar experience.
How do I let NSPRA know if I need special accommodations for a physical disability?
Please contact the Seminar Manager, Colleen Lewallen, CMP, at clewallen@nspra.org.
